Our platform employs rigorous identity verification processes to ensure that only authorized users manage and distribute their content. We actively monitor all activity to prevent fraud and unauthorized access, using real-time tracking to ensure transparency. Our detailed reporting system gives you a clear overview of your royalties and music performance, while our secure payment processing guarantees that financial transactions are handled safely. Secure Identity Verification with Scan.it

To ensure security and compliance, Phonographic Aggregation requires all clients to verify their identity through Scan.it by SignDesk before submitting a release. Successful verification, which includes validating identification documents and a webcam photo, activates the account for content submission. If verification fails due to poor document quality or other issues, Phonographic Aggregation will review the case and may allow additional attempts. Continued failure to meet verification standards will result in account termination.

Sole Ownership & Responsibility

At Phonographic Aggregation, each account is assigned a single owner who holds full responsibility for all actions, representations, warranties, and commitments within the Digital Distribution Agreement. The account owner remains legally accountable for any activity conducted under their account, including actions by individuals they grant access to. Requests for ownership changes require formal approval, identity verification of the new owner, and documented consent from the prior owner, with Phonographic Aggregation reserving sole discretion over such changes. This policy ensures security, compliance, and integrity across our platform.

Password Security

We do not store your password, making it your responsibility to safeguard access to your account. We strongly recommend following password security best practices, including using strong, unique passwords and enabling multi-factor authentication. Do not share your password with anyone; instead, utilize our User Profile Roles feature to grant controlled access. Failure to secure your password could result in unauthorized access, potentially leading to loss of music rights or royalties. Protect your account by maintaining strict password security.

Two-Factor Authentication (2FA)

Two-factor authentication (2FA) is a critical security measure at Phonographic Aggregation, requiring two separate forms of identification for account access. Upon initial login and every 30 days thereafter, users must enter a 2FA code to enhance account security. Additionally, accessing sensitive account information and financial data requires an extra 2FA code. Users must have access to the email associated with their account to receive authentication codes. Enabling 2FA significantly reduces the risk of unauthorized access and enhances overall account protection.

Ownership & Distribution Rights

Ensuring proper content rights is a top priority. By distributing music or video through our platform, you confirm that you hold 100% of the necessary rights for distribution. This includes ensuring that all samples, beats, vocals, images, names, and likenesses are fully authorized. You must be prepared to provide clear and legitimate documentation proving these rights upon request. This requirement applies to all clients, including artists, managers, and labels. Licensing a “beat” or “vocal” does not automatically grant distribution rights; you must verify your agreement with the original rights holder. We take copyright integrity seriously—violations may result in account termination and forfeiture of royalties for content lacking verified rights.

Artist Watchlists

We collaborate closely with rights holders, trademark owners, and DSP partners to safeguard the likeness and identity of artists. If we receive inquiries about unauthorized use of an artist’s likeness, we promptly investigate and take corrective action. Such investigations may lead to warnings or account termination if violations are found. Additionally, we maintain verified and blocked artist lists to ensure that only approved rights holders can use an artist’s name or likeness. This proactive approach helps protect artists’ identities and prevents unauthorized distribution.

Metadata Integrity & Compliance

We enforce strict metadata compliance to align with DSP watchlists and industry standards. All artist names and metadata submissions are reviewed to ensure accuracy and legitimacy. Releases containing undocumented or trademarked names without proper authorization will not be approved. Additionally, metadata must adhere to the guidelines set by our partners. Any attempts to manipulate metadata, exploit system standards, or submit false information may result in release rejection and potential account termination. Maintaining metadata integrity is essential for fair and transparent distribution.

Consumption Activity Monitoring

We actively monitor client consumption activity to ensure compliance and prevent fraudulent behavior. Our daily analytics track streams, downloads, user-generated content activity, and more. If suspicious activity is detected, we take action in accordance with our Digital Distribution Agreement, Terms of Use, and Privacy Policy. Any fraudulent or abnormal activity identified by DSPs or our internal monitoring may result in account termination and withholding of illegitimate royalties. Maintaining fair and transparent distribution practices is our priority.

Audio Fingerprinting & Rights Verification

Every submitted song undergoes audio fingerprinting to verify proper rights ownership. We utilize ACRCloud, a leading audio recognition service, to screen content for copyright compliance, identification, and cover song detection. ACRCloud has a vast fingerprinting database of over 72 million tracks and serves major industry clients, including Deezer, Anghami, Alibaba, Audiomack, Xiaomi, and Musixmatch. This technology helps ensure that only legitimate rights holders distribute content on our platform, maintaining integrity and compliance across the music industry.
